What Quote Response Times Actually Do to Your Bookings

What Quote Response Times Actually Do to Your Bookings

We assumed faster quotes meant more bookings. Our platform data says otherwise, and what it says instead is more useful.

If you’ve ever dropped everything to get a quote out inside the hour, this post is for you. It’s a good instinct. It’s professional, it’s respectful of the couple, and it’s what almost every artist on this platform already does. Half of all quotes here go out within two hours of the brief landing, which is genuinely impressive.

It’s also, according to ninety days of our booking data, not what wins the booking.

What the numbers say about speed

We expected response time to matter a great deal. Honestly, we’d been telling artists it did. Then we looked at how quickly quotes went out against whether the couple actually booked:

    Time from brief to quoteBooked
    Under 1 hour30%
    1 to 6 hours17%
    6 to 24 hours20%
    1 to 3 days36%
    Over 3 days25%

There’s no pattern there. Quoting inside the hour performs no better than quoting three days later. If anything, the artists who took a day or three to price the job properly did slightly better than the ones who rushed, though we wouldn’t lean on that too hard either.

Speed, it turns out, is not as big a lever as we thought it was. It’s table stakes, not an advantage.

What the numbers say about everything after the quote

Now look at the same bookings sorted by what artists sent after the quote went out:

    Messages after quotingBooked
    None0%
    One message20%
    Two messages40%
    Three or more50%

A clean line, every step of the way. This is the lever.

A quote arriving in ninety minutes with nothing after it converts at zero. A quote arriving three days later, followed by two warm and specific messages, converts at forty percent. The couple is not judging your response time. They are deciding whether they want to spend their wedding day with you.

    The gentle, constant presence

Here’s the reframe that made this click for us.

We used to think of the enquiry as a race: first to respond, first to quote, first in the couple’s mind. But couples planning a wedding aren’t standing at a finish line waiting for the fastest supplier. They’re juggling a venue, a caterer, a florist, a photographer, a guest list, and a hundred small decisions, all at once, over months.

In that world, the artist who wins isn’t the one who arrived fastest. It’s the one who is gently, consistently there. A warm message after the quote. Another one two days later that quietly removes whatever was in the way. A real question about their day. You become a soft, steady presence in the background of their planning, and when they finally sit down to make the decision, you’re the artist they feel they already know.

That’s not chasing. Chasing is “just following up on my previous message”. Presence is “April at your venue is a beautiful time of year, and it’s a day I’d genuinely love to paint”. One pesters, the other reminds them why they enquired in the first place.

So should you stop replying quickly?

No. Speed still matters, just not for the reason we thought.

Replying the same day is what a professional does. It protects the couple’s experience, it keeps their confidence up, and it stops them drifting off to keep browsing. What it doesn’t do is separate you from anyone, because nearly every artist here is already fast.

So the practical guidance looks like this:

    Worth doing:

    • Reply the same day, even if the full quote takes longer.
    • If you need time to price it properly, say so. A holding message beats a rushed quote.
    • Take the extra ten minutes to get the size and package right. Accuracy outlasts speed.

    Worth far more:

    • A message straight after the quote, in your own voice, referencing their day specifically.
    • A second message two days later that removes whatever is in the way.
    • One question, one clear next step, every time.

    The short version

Being fast keeps you in the conversation. Following up is what ends it in a booking.

If you only change one habit this season, don’t make it your response time. Make it the two messages that come after the quote, and let yourself become the quiet, constant reminder of the thing they were excited about when they first found your work.
